Hours: c. 8 hours per month to be worked flexibly for 10 months

1) The Night With… 

The Night With… (TNW) is a Glasgow based charity working as a contemporary classical music production company and record label. It began as a brand in 2016 for Matthew Whiteside’s concert production work before founding as a charity in 2018.

We aim to present contemporary classical music in new ways, breaking down barriers to access. Our concerts are presented more as a ‘gig’ than a classical concert and primarily in non-traditional venues such as nightclubs, bars and art galleries. 

Since 2016 TNW has presented 62 concerts, commissioned 15 new works and given 40 premiéres with concerts taking place in Glasgow, Edinburgh, Aberdeen, Belfast and Paris. 

In 2020 we released our first album ‘The Night With… Live Vol One’ which featured music recorded during the 2019 season. Over lockdown we developed the record label arm to include six albums currently released and another five in the pipeline for the next 12 months. 

The strategic direction of The Night With…’s work is led by the CEO / Artistic Director, with support staff of the board and Social Media and Friends Scheme manager. 

2) Main duties & responsibilities 

The Bookkeeper is a new freelance role within the organisation, created to support the CEO & Artistic Director in processing day-to-day financial transactions in the finance system (Xero), ensuring timely payment of invoices and expenses, and performing regular bank reconciliations.

Additional administrative tasks in support of the organisation’s management may be required from time to time.

The successful candidate will be working closely with the the CEO & Artistic Director, to achieve the following: 

Accounting Systems 

  • Setup our accounting system (Xero);
  • Ensure accurate and timely recording of all transactions in the finance system (Xero); 
  • Check and process expense claims; 
  • Process payments to musicians, freelancers, composers and any other relevant parties; 
  • Check and record all income from grants, sales and donations; 
  • Ensure monthly reconciliation of bank accounts; 
  • Ensure regular payment reports are run for approval; 
  • Assist CEO / Artistic Director with budgeting and cashflow;
  • Ensure adherence to and development of the organisation’s financial controls. 

Administration 

  • Act as first point of contact for invoice queries; 
  • Ensure timely resolution or escalation of queries, as necessary. 

Additional Tasks 

  • Attend and contribute to infrequent meetings (usually online); 
  • Attend concerts on occasion to maintain awareness of TNW delivery and build relationships with musicians; 
  • Create quarterly reports for board meetings;
  • Keep income records of album sales/streams;
  • Undertake any other duties as requested by the CEO / Artistic Director, relevant to this post. 

 

3) Terms & Conditions 

The post is contracted on a self-employed basis. The pay will be £20 per hour paid monthly on production of invoice. 

  1. a) We have budget for this role for 10 months. Funding permitting this may be increased.
  2. b) Successful applicants will decide on their own hours to best fit business and personal needs. 
  3. c) The successful candidate will be responsible for their own tax and national insurance contributions. 
  4. d) Successful applicants will invoice monthly for the hours they have worked.
  5. e) The place of work will be home working with occasional in person meetings. Reasonable expenses will be reimbursed.
